Position Description & Responsibilities
Merrimack College is seeking applications for a Divisional Business Officer to join the Office of the Executive Vice President, Chief Financial Officer (CFO) and Chief Operating Officer (COO). The Executive VP/CFO/COO has direct oversight of the following institutional divisions: Admission & Enrollment Management, Athletics, Campus Planning, Campus Police, Career Services, Communications, Dining Services, Facilities, Financial Aid, Fiscal Affairs, Human Resources, Information Technology, Marketing, Residence Life, Student Affairs, and other campus operations. As an essential member of college, the Divisional Business Officer (DBO) oversees and is responsible for key administrative functions, including but not limited to financial planning and analysis, budgeting and budget control, accounting, personnel changes and compensation. The DBO will work closely with Human Resources, Information Technology, Procurement, Facilities, Office of the General Counsel as well as other internal and external stakeholders.
- Work closely with the Executive VP/CFO/COO in setting plans and budgets to ensure that strategic objectives and initiatives across all areas of college operations are successfully implemented, managed and maintained. Oversee and monitor the designated areas budgets including the processing of contracts, invoices, purchase orders, special payments, and expense reports. The designated areas that fall under the DBO for the Executive VP/CFO/COO include, but are not limited to, the Academic Success Center, Admission & Enrollment Management, Athletics, Campus Planning and Infrastructure, Campus Police, Communications & Marketing, Dining Services, Financial Aid, Fiscal Affairs, Human Resources, Information Technology, the O’Brien Center for Career Development, Residence Life, Student Affairs, and other campus operations
- Manage and oversee the Business Unit’s area budgets and hold the ultimate responsibility for development and coordination of the annual operating budget planning process, forecasts, funding strategies and budget analysis/tracking. Assist Business Unit leaders in the preparation, tracking, analysis of departmental budgets, and comparison of actuals to budget. Assume ultimate responsibility for maintaining and ensuring the solid financial position of the College.
- Create and maintain a sound financial environment, which includes best practices regarding all aspects of business operations within the EVP’s Office and supporting divisions. Perform budget maintenance and control activities – Monitor the Business Unit budgets and allocate funds within budgets as needed. Assist division owners in controlling expenditures in accordance with the College policies and goals, and work with them to resolve any budget related issues.
- Reporting and analysis – Provide accurate and timely financial information to the division leaders, analyze trends in revenue and expenses, track key performance indicators (KPIs), assess program profitability, and provide ad hoc financial reports as needed.
- Oversee and process all personnel compensation, stipends, special payment contracts including all supporting paperwork from units reporting to the EVP’s Office, including requests to post and hire. Serve as a liaison between the designated department and the Human Resources and Payroll Offices.
- Business process and communication – Serve as the point person for Business Unit financial matters, monitor financial and budget policies within the Business Unit. Hold budget meetings with Business Unit budget owners on a regular basis (monthly and quarterly) to review the budget and address allocation of funding, review hiring plans, track expenses, assess annual planning activities, identify areas of revenue generation and implement cost reduction strategies.
- Coordinate with Procurement, Human Resources, Information Technology, the Office of the General Counsel and Facilities as needed to deliver outcomes assigned by the EVP’s Office. Serve as point person for Business Unit procurements, human resources initiatives, information technology systems management and facilities matters. Ensure departmental compliance with College business policies.
- Evaluate and advise on the impact of short and long-range planning, and the implementation of new programs, strategies, policies, practices and initiatives.
- Special projects and reports as assigned.
- Bachelor’s degree required (preferably finance, accounting, or business management); Master’s degree strongly preferred.
- 5+ years of experience in financial and business operations; preferably in a higher education environment.
- Demonstrated organizational skills; good judgment and discretion; excellent analytical, financial and communication skills; ability to manage changing and conflicting priorities and meet deadlines; ability to handle sensitive and confidential matters; knowledge of databases and spreadsheets, sponsored program activities, accounting principles; competence using management reporting systems; and experience overseeing a variety of accounting transactions.
- An ability to learn, navigate, and work to improve business processes.
- Ability to meet timelines, deliverables, and exercise good judgment while dealing with sensitive and confidential information. Ability to work accurately under time pressure and to handle multiple responsibilities at one time; ability to work independently. Ability to thrive in a fast-paced environment.
- Strong proficiency in Excel with the ability to write and combine formulas, utilize pivot tables and pivot reporting, conditional formatting, write macros, and generate charts and reports is a must.
