Position Overview & Responsibilities

The Office Manager is responsible for assisting the Chief Information Officer in the execution of their duties and responsibilities. The Office Manager also provides support to the other Directors within Information Technology Services. The position requires complex office management functions and high-level administrative support. The Office Manager handles a wide range of administrative support tasks that involve effective communication and interaction with students, stakeholders, faculty, and staff throughout the Merrimack College community. The Office Manager must have a courteous and friendly professional demeanor, and be reliable and trustworthy, especially when managing confidential and time-sensitive materials. Responsibilities include:

  • Assist the CIO in the day-to-day operations of the office. Manage the calendar, coordinate and prioritize appointments, compile various reports, handle all contracts and maintain records and other documents.
  • Oversee fiscal and budgetary operations for Information Technology Services and provide monthly reports to the CIO (including the processing of invoices, purchase orders, expense reports, contracts, etc.).
  • Perform periodic budget analyses and data reports; process and oversee all pre-authorization and expense reports for travel.
  • Create, maintain and update spreadsheets, tables, presentations, letters, communications, and other documents for the CIO.
  • Assist the department in the management of the Mobile Merrimack program. Process paperwork for Apple, manage and track repairs, assist in keeping accurate inventory.
  • Serve as the liaison for the CIO between other offices on campus. Initiate communication with other departments. Reserve space and make reservations for meetings. Prioritize the scheduled events and follow up to ensure deadlines are met.
  • Attend meetings at the discretion of the CIO, take minutes, and post/disseminate information including agendas and minutes.
  • Respond to emails from the Office of Information Technology email account and provide assistance with updating the website and MyMack pages with the most up-to-date information.
  • Proofread and edit, when necessary, drafts before distribution. Track and protect confidential and sensitive information and use discretion when disseminating information.
  • Make suggestions for office policies and procedures, and ensure they are implemented appropriately.
  • Manage office supplies inventory and place orders as necessary.
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.

Qualifications:

  • Bachelor’s Degree preferred or 2-5 years of work experience in an administrative/office management role.
  • Must be proficient with Microsoft Office and Google products. Familiarity with Adobe Acrobat and AdobeSign is a plus.
  • Excellent interpersonal skills and communication skills at all levels (both verbal and written).
  • Self-starter with the ability to multitask and manage a significant workload.
  • Strong problem-solving skills and analytical abilities.
  • Demonstrate a high level of attention to accuracy and detail.
  • Ability and willingness to learn new skills as necessary are essential.

Unless otherwise stated above, this is an on-campus position. This is not a remote or hybrid position as employees are essential in order to provide a fully on-campus, residential college experience for our students and the community.
