Position Overview

The Warrior One Stop Student Services Specialist, Registrar will play an integral role within the Warrior One Stop. The successful candidate will serve as the primary point of contact with assisting and educating students, parents, faculty and staff to navigate the Registrar administrative functions. The Warrior One Stop Student Specialist, Registrar will be fully cross-trained with the Warrior One Stop’s portfolio of additional services including billing, parking, financial aid, and student employment.

A successful candidate will work independently and serve as the Merrimack College Veteran Affairs Certifying Official. The successful candidate will work closely with the Registrar, Director of the Warrior One Stop, Assistant Deans, and other departments as it relates to retention, graduation, and academic catalogs.

Responsibilities include:

  • Process and coordinate the general Registrar office mailbox as well as the Warrior One Stop emails associated with the registrar’s tasks.

  • Maintain academic records relative to student status including withdrawals, leave of absence, student abroad, and major/minor changes.

  • Process all special registrations, course withdrawals, pass/fail requests, leave of absence, and college or course withdrawals.

  • Processing changes of grades and assist with managing the incomplete grades process.

  • Coordinate tracking of academic standing including probation, dismissal, and readmittance to the college.

  • Work with Faculty and Assistant Deans on class roster verifications.

  • Assign registration group numbers for all students prior to the registration periods which happen twice each academic year.

  • Assist with coordinating the degree conferral process

  • Cross train on basic bursar & financial aid functions

  • Support the Warrior One Stop front team during high traffic times throughout the semesters.

  • Coordinate the annual process for updating both the Undergraduate and Graduate Academic catalogs. Including creating timeline, collaborating with schools and departments on the step-by-step process of using our online catalog, Acalog.

  • Serve as the Veterans Affairs Certifying Official. Includes working with the local VA representative in submitting certification paperwork for enrolled veterans and dependents of any current or prior member of the uniformed services.

  • Responsible for submitting current academic catalog and new program to the VA each academic year.

  • Completes annual training to be compliant for VA regulations.

  • Assist in responding to daily emails and phone calls that come into the office via centralized email and phone system.

  • Responsible for awarding the Deans and Presidents list.

  • Other duties or projects as assigned.

  • Must be able to exercise good judgment, be responsive and courteous, and student service oriented at all times

  • Must demonstrate strong interpersonal skills, discretion and resourcefulness in order to interact effectively with students, families, and the general public as well as with representatives from other departments or institutions.

  • Excellent verbal and written communication skills to effectively and professionally interact with diverse groups using tact and diplomacy.

  • Demonstrate ability to work in a fast-paced environment and prioritize accordingly.

  • Ability to establish and develop long-term relationships across campus with students, faculty and administrative staff.

  • Ability to research, apply and explain a variety of rules, policies and procedures.

  • Strong organizational and project management skills to coordinate and prioritize multiple complex duties, paying attention to detail and deadlines when faced with high volume, fluctuating workload and constantly changing priorities.

  • Experience with student relational database and CRM system helpful

  • Must have technical competence and an ability to understand the “big picture” as well as the details of complicated systems and issues.

  • Must be able to work flexible hours including occasional evenings and weekends as needed.

Qualifications:

  • Bachelor’s degree required with 1-3 years professional experience in a busy service-oriented office and/or related customer service experience.
